Should you use a freight forwarder’s services, or manage your own freight? It’s a question many ask when trying to work out the details of shipping cargo from one destination to another, especially when that shipment needs to be quick, but also affordable.
We believe that freight forwarders are the right choice, as you can safely put the logistics of shipping into the hands of an experienced, professional team with the industry connections and expertise to move everything from point A to point B with skill and attention to detail, including cost. However, for organizations that want to maximize efficiency and flexibility while retaining some control over the cargo and how it moves, it’s possible to marry freight forwarding and self-management. Here’s how to do it.
Negotiating Incoterms with Freight Forwarders
Incoterms, the shorthand for international commercial terms, are the rules that govern transportation around the world. For organizations shipping with a freight forwarder, Incoterms outline who owns the goods at each stage of transport, who is responsible for shipping, who pays for what, and who is responsible for any risk associated with shipping, like damage or loss, at a given point in the freight forwarding.
To have some self-management mixed in with the benefits of working with a freight forwarder, negotiate Incoterms with the supplier to keep the control you would like to have.
When you are negotiating Incoterms for ocean freight, opt for Free on Board, or FOB. To be clear, this is only for water transportation, not for multimodal container shipping. For air, truck, and multimodal freight, you will be looking for Free Carrier, or FCA Incoterms.
Under FOB, the seller, or exporter, delivers goods cleared for export, loaded on board the vessel at the named port. As soon as those goods are loaded on board, all of the risk and costs transfer to the buyer.
FCA works similarly, with the seller or exporter fulfilling their obligation to deliver as soon as the goods, cleared for export, are put into the charge of the carrier as named by the buyer at their specified place or point. The exporter is the party who arranges logistics during the export country stages, like customs and trucking within the country, and they stay liable for risk up until the goods get to the chosen place.
This offers a few benefits for self-managing your freight or at least retaining an element of control over how and where things move instead of fully leaving it in the hands of a freight forwarder. You’re able to take control of the cargo, its routing, and the selection of the logistics service provider.
At the same time, you’re avoiding dealing with foreign currency on overseas origin fees, and giving freight costs transparency so you can work with the freight forwarder of your choice. The forwarder benefits from having documentation in place from the start, minimizing the chance of non-compliance.
